How Southeastern Louisiana University moved from spreadsheets to WebTMA, streamlining maintenance, improving efficiency, and enhancing the student experience.

Located in Hammond, Louisiana, Southeastern Louisiana University (SLU) is a public institution serving more than 14,000 students across over 150 programs of study. With a sprawling campus and a mission to provide affordable, high-quality education, maintaining facilities efficiently is critical to ensuring a safe, comfortable, and supportive learning environment for its students.

For Candace LeMay, Administrative Coordinator at Southeastern Louisiana University (SLU), the move to WebTMA marked a turning point in how the university manages its facilities.

“We had been working with a system for 20 years, we were just using a spreadsheet. I had a lot of little tabs at the bottom for each shop, and we used that until we went live on February 24 [2024].”

Moving beyond spreadsheets

Before WebTMA, facilities at SLU were tracked manually through spreadsheets. Each shop had its own tab, and all work was recorded by hand. While the system was familiar, it wasn’t scalable for the needs of a growing university.

The initial plan was to introduce WebTMA gradually: starting with a few shops, like Housing and HVAC. But after only a few hours, it became clear that the new system’s benefits were too valuable to limit and supervisors were eager to adopt it.

“We were like, we’ll just start off with a few shops at first. But after a couple of hours, I said, nope—we’re going full force. Everybody’s going. No more spreadsheets.”

Gaining efficiency and insight

The shift to WebTMA has already delivered measurable improvements. Housing, in particular, has benefited from the ability to quickly analyze recurring issues and spot trends across rooms and buildings.

“If a room number sounds familiar, it’s very easy to run that report and say, ‘Hey, you’ve been there five times. We need to figure out what’s going on.’”

The ability to easily add new buildings, preventive maintenance tasks, or adjust workflows has also created flexibility and responsiveness the team never had before.

“To add a building, to add a PM, it’s just a couple clicks. If the guys don’t like how a PM comes out, I can change it next month.”

Stay ahead with preventive maintenance

Building buy-in across campus

As with any system change, reactions varied. Some staff were hesitant, while others were enthusiastic. So much so that they began sharing their discoveries with colleagues.

“You had some who were a little hesitant, and then you had others who were like, oh, this is so exciting—can I come up there and show you what I learned?”

The excitement fueled adoption across departments and created momentum for further expansion.

Looking ahead

A year after going live, SLU has already added two more WebTMA modules, expanding its capabilities and deepening its impact. For Candace, the future is about continuous improvement.

“Here we are a year and a few months later, and we’ve already gotten two more modules. From here on out, it’s just improvements—for us, for the university in general, and just making it overall better for everybody.”

At the end of the day, SLU’s facilities team keeps one goal in mind: supporting students.

“The students are why we’re there. If we can make it better for them, then our mission’s accomplished.”
