Managing facilities at a large, research-intensive university requires a system that can handle thousands of assets, high work order volumes, and the daily needs of technicians across campus. For Anisha Nizar, Systems Administrator at the University of Alabama at Birmingham (UAB), WebTMA provides the tools to make that possible.
“We use [WebTMA] in an ecosystem where the technicians use the mobileTMA and supervisors use WebTMA. It’s our work order system, and it’s also where we have our assets, our equipment, and our warehouses as well.”

At UAB, the facilities team currently manages more than 20,000 pieces of equipment in WebTMA, with plans to bring in even more. Sitting at the center of their operations, WebTMA serves as the hub for assets, work orders, warehouses, and purchasing.
Managing workflows smoother
For Anisha, one of the most valuable aspects of WebTMA has been the focus on efficiency.
“The best thing that we have seen is the less clicks. Before, we had to do a lot more clicks to do the exact same work. And now [WebTMA] is coming up with a lot more shortcuts to do the exact same thing.”
With so many technicians and supervisors working through the system every day, even small improvements have a big impact. As administrator, Anisha sees it as her responsibility to make sure processes are clear and easy to follow.
“We have a lot of technicians going through the system. We have a lot of work orders flowing through. As an administrator, it becomes my responsibility to make sure that process is as smooth as possible.”
Training and adoption
System improvements alone don’t drive results; people do. That’s why UAB has focused on training technicians across campus to get the most out of WebTMA’s mobile application.
“We are currently going through our campus and doing training for all the technicians on how to use the [WebTMA] mobile app to the best of its ability. The more shortcuts we show them, the more they’re like, oh, we love this—we didn’t know this was possible.”
From paper to digital
Before implementing WebTMA, many warehouse processes relied on email or even paper and pencil. Bringing those systems into WebTMA has streamlined purchasing and improved overall efficiency.
“Before bringing the warehouses into the system, a majority of the systems were done via email and paper and pencil. We took all of those systems and brought them into [WebTMA]. Currently we are using the warehouse system to do all our purchasing, and the work has been much more efficient and streamlined because of that.”
Looking ahead
For UAB, WebTMA has already transformed asset management, work order processing, and purchasing. And the team is eager to see what comes next.
“We are using [WebTMA] to its best ability and cannot wait for the new improvements and enhancements to come out.”
