Managing facilities across seven campuses and more than a dozen centers is no small task. For Dallas College, that means overseeing 5.5 million square feet of space spread across 1,400 acres, while supporting student enrollment that fluctuates between 80,000 and 120,000 annually.
For Melissa Qualkenbush, Facilities Help Desk Manager, the key to managing such scale comes down to one thing: data-driven asset management.
Managing assets, not just buildings
Dallas College’s decision to adopt WebTMA centered on its ability to manage facilities by focusing on the assets themselves rather than just the buildings that house them. This asset-first approach gives the team visibility into the lifecycle of equipment, helping inform maintenance schedules, capital planning, and long-term budgeting.
This asset-first approach only works if the data behind it is accurate and accessible. That’s where WebTMA’s mobile app has become essential for Dallas College, ensuring that information is captured in real time and available to guide decisions across all campuses.
Powering decisions with reliable data
With WebTMA’s mobile application, Dallas College collects real-time, accurate data directly from the field. That data has become central to understanding performance, diagnosing recurring issues, and planning maintenance investments with confidence.
“The apps are extremely beneficial for us because they give us a platform to use and get accurate data. The data we’ve collected is very clear and viable.”
That data has already paid off in measurable results. For example, many of Dallas College’s buildings are 30–40 years old. Tracking “too hot/too cold” complaints across campuses has allowed the facilities team to target investments in boilers, chillers, and HVAC systems.
“We know that ‘too hot, too cold’ in building ‘X’ has gone down significantly because of the information we have from our boilers and our chillers. We’ve been able to allocate our money a lot more thoughtfully and intentionally.”
Driving efficiency and long-term value
By connecting asset data to capital planning, Dallas College has been able to reduce recurring issues, improve the comfort of campus spaces, and ensure that limited resources are invested where they make the most impact.
Melissa’s conclusion is simple:
“I would highly recommend TMA, and I do not want to go to anyone else.”
Dallas College’s story highlights the power of asset-based management and reliable data. With WebTMA, they’ve shifted from reactive spending to intentional investment, ensuring that facilities support both the learning environment today and the institution’s long-term goals.
