From Chaos to Clarity: How Seminole County Public Schools rebuilt trust in its CMMS

Seminole County Public Schools is one of Florida's leading school districts, supporting 74 campuses and 8.9 million square feet of facilities. Like many large districts, SCPS had invested in a CMMS but struggled with aging data and limited visibility. Rather than replacing its existing CMMS, WebTMA, SCPS chose to rethink how they used it to manage their facilities. Their goal was to rebuild trust in their data, standardize the workflows, and partner with TMA Systems to get more from the platform they already owned.

The challenge
Like many large school districts, Seminole County Public Schools had invested in a CMMS, but years of inconsistent processes, aging data, and leadership changes limited its value. The foundation was the problem, not the software.

Rebuilding the foundation
Corey Ellis, SCPS Facilities Project Manager, and his team made the deliberate decision to maximize the value of WebTMA instead of pursuing another CMMS. They evaluated how the system was being used across the district and identified opportunities to strengthen data and improve consistency.
Working closely with the TMA Systems’ Professional Services team, SCPS focused on creating repeatable workflows that would optimize day-to-day operations and ensure long-term operational improvement.

The impact
By rebuilding confidence in its data and standardizing maintenance processes, Seminole County Public Schools transformed WebTMA from a work order system into a strategic decision-making platform. Today, SCPS district leaders have the visibility needed to support more informed maintenance planning, stronger reporting, and long-term decision-making.
