Building a Smarter Campus with WebTMA: Bowling Green State University
How Bowling Green State University uses WebTMA to streamline maintenance, create data-driven dashboards, and empower staff to make an impact.
Bowling Green State University (BGSU) is home to over 100 buildings, including nine that are more than 100 years old, and more than 3.6 miles of underground utility tunnels. With facilities ranging in age and complexity, the team averages nearly 20,000 work orders each year.
For Claire Semer, Process Control Manager in Planning, Construction, and Campus Operations, the key to success lies in how well the maintenance system is run.
“A well-maintained campus and campus facilities has everything to do with how your maintenance system runs.”
Turning data into decisions
Managing maintenance across such a large campus requires more than just manpower, it requires data. With WebTMA, Claire and her team have been able to make informed, data-driven decisions that improve efficiency and cost-effectiveness.
“[WebTMA] does help us run a more efficient organization. I can make data-informed and data-driven decisions that help make cost-effective decisions. It helps build a safe campus so students can learn, and staff can be comfortable.”
Building dashboards that drive buy-in
One of the team’s biggest accomplishments has been creating custom dashboards within WebTMA. These dashboards are shared with technicians and supervisors, helping them understand not only what work needs to be done, but why.
“One of the greatest accomplishments is creating these dashboards in [WebTMA] that I share with our technicians and our supervisors so they can understand why we’re doing what we’re doing.”
Before using WebTMA, staff had a general sense of workload, but not hard numbers. Now, they can see exactly how much work they’re doing, when it was completed, and where resources are going.
“Our staff and our organization, they sort of knew numbers, but they didn’t know hard numbers. And when I provide data like this to staff, it’s sort of mind-blowing.”
Empowering staff to make an impact
The availability of real-time data has shifted the way staff engage with the system. They now ask deeper questions and take ownership of their part in the process.
“You could see that they’re spinning, and they have questions. They want to know: How many did they touch? When did they touch these? And I can show that with [WebTMA], I can break down that data for them and explain why.”
That transparency has led to stronger buy-in and a greater sense of impact from the team.
“I think then they have more buy-in about when they’re in the system, what they’re clicking. They really want to make an impact.”
