Simplifying KPIs and Ensuring Mobile Access to Data Insights Across Campus

About the client

The University of Illinois Urbana-Champaign (UIUC) is the flagship campus of the University of Illinois’ network. It has about 50,000 students. As the largest campus in the university’s network, it encompasses over 600 buildings and facilities spread over approximately 4,552 acres of land.

Challenges

With such a vast campus space to manage, the university needed to quickly convey important data insights and KPIs to upper management in an easy-to-understand format. Campus technicians required a mobile solution to access this data and their respective work orders across any location on its premises. The university was also incurring costs due to technicians spending extensive time on filling in forms and writing reports. Therefore, it needed a streamlined and efficient system that could optimize data reporting processes, allowing technicians to focus more on their core responsibilities.

Solution

The daily custodial and maintenance tasks of almost 122 of the 600 campus buildings were already being managed by TMA Systems. The university had a nearly 30-year-long partnership with the enterprise asset management (EAM) software provider. This ensured easy integration of WebTMA into the university’s organizational framework to further maximize its operational efficiency.

With the use of intuitive dashboards that clearly lay out all vital KPIs in an easily understandable format, WebTMA made it simpler for supervisors and upper management to get a detailed overview of core maintenance tasks. This helped them to make data-driven decisions to achieve the best possible impact on operations.

WebTMA’s mobile capabilities, offered through the mobileTMA GO application, allowed technicians to access their current work orders and data (asset history, current status, and other information crucial for completing maintenance targets) in real time on their Android or Apple devices. This not only enhanced the overall responsiveness of maintenance operations but also contributed to a proactive management approach.

Thank goodness for TMA for giving us the ability to see what’s needed, see where it’s needed, see when it’s needed, and follow up and make sure things are done right and hit those goals.

- Graham Houser, IT Technical Associate & Program Manager, University of Illinois Urbana-Champaign

Benefits

WebTMA’s integration with UIUC’s facilities has significantly enhanced the overall efficiency of the campus’ maintenance operations. Of particular note is their increased ability to go paperless, which has allowed the university to save approximately USD 140,000 annually. Other major benefits include:

Improved KPI Management:

The simple dashboards allowed the management team to understand core maintenance requirements and requisite KPIs without having to spend time crunching the numbers themselves. This in turn made it easier for them to make important operational decisions.

Greater Mobile Accessibility

The mobileTMA GO app streamlined technicians' tasks, enabling them to complete daily activities and access essential data on-the-go, directly from their Android or Apple devices.

Simplified Work Order Management

Work orders were easily generated, assigned, and tracked on the WebTMA platform, allowing maintenance teams to prioritize and complete their goals more efficiently.

Higher Cost Savings

WebTMA's greater digital focus allowed the university to save significantly on time and costs by automating paper-based reporting and manual data logging.

"TMA Systems has got a permanent residency with us. It provides exactly what we need and is a part of our business practice. WebTMA is fundamentally baked into our operations."

- Graham Houser, IT Technical Associate & Program Manager, University of Illinois Urbana-Champaign
